Privacy Policy — I Hear Employee App

Effective date: 25 September 2026 · Last updated: 25 September 2026
Application: I Hear (Android package com.ihear.app)

This Privacy Policy explains what personal information the I Hear mobile application collects, why we collect it, how it is used and shared, and the choices you have.

This is an internal workforce application. The app is provided by Uttarpara Speech and Hearing Centre Pvt Ltd, trading as iHear ("iHear", "we", "us") to its own employees and authorised field staff. It is not a consumer product and is not intended for use by the general public. You must have an account issued by us to sign in.

1. Who we are

The data controller for information collected through the app is:

Entity: Uttarpara Speech and Hearing Centre Pvt Ltd

Registered address: 4, Chatterjee Street, P.O. Uttarpara, District Hooghly, PIN 712258, West Bengal, India

Email: contact@ihear.in

Phone: 033 7130 7130

2. Information we collect

2.1 Account and profile information

Provided by your employer's HR records or by you inside the app: name, employee ID, work email address, phone number, designation, branch or territory, reporting manager, profile photograph, and your signature image where a document requires it.

2.2 Location information

The app collects the device's precise and approximate location to support attendance and field-work reporting. See Section 4 for full details, including background collection.

2.3 Work activity data

Attendance check-in and check-out records, leave applications, tasks, doctor and lead visit records, campaign entries, KPI figures, and any notes, photographs, videos or documents you attach to them.

2.4 Camera, microphone and media

When you choose to capture or attach media — for example a video verification, a campaign photograph, or a supporting document — the app accesses the camera, microphone, photo library or file storage at that moment, for that purpose only. The app does not record audio or video in the background.

2.5 Device and technical information

Device model, operating system version, app version, network connection status, and a push notification token. Device and OS version are used to apply the correct storage and permission behaviour on your Android version.

2.6 Information we do not collect

We do not collect payment card or bank account details through the app.

We do not read your SMS messages, call logs, contacts or personal photo library contents beyond the specific file you choose to attach.

We do not use advertising identifiers, and we do not run advertising in the app.

3. Android permissions and why we need them

Permission Why the app requests it
ACCESS_FINE_LOCATION
ACCESS_COARSE_LOCATION
To record your location when you check in or out of a work session and to log field visits accurately.
ACCESS_BACKGROUND_LOCATION To continue recording location at intervals while a work session is active and the app is not on screen. See Section 4.
FOREGROUND_SERVICE
FOREGROUND_SERVICE_LOCATION
To run the location service with a persistent, visible notification so you always know when tracking is active.
RECEIVE_BOOT_COMPLETED To restore an active work session's location service if your device restarts during working hours.
CAMERA, RECORD_AUDIO To capture photographs and video verification clips that you choose to submit.
WRITE_EXTERNAL_STORAGE (Android 9 and below) To save files you download, such as your salary slip PDF.
POST_NOTIFICATIONS To send you work notifications — task assignments, leave approvals and announcements.
INTERNET, WAKE_LOCK To communicate with our servers and to complete a scheduled location update reliably.

You can grant or revoke any of these at any time in Android Settings → Apps → I Hear → Permissions. Revoking a permission disables the related feature but does not delete data already recorded.

4. Location data — detailed disclosure

The app collects location data to record attendance and confirm field visits, even when the app is closed or not in use. While a work session is active, the app sends your latitude and longitude (precise GPS location) to our servers approximately every 5 minutes, including when the app is minimised, closed or the screen is off. A permanent notification is displayed on your device for the whole time this is running.

What is sent: latitude, longitude, the time of the reading, and your authenticated user identity. No other sensor or content data accompanies it.

When it runs: only after you check in / log in to a work session in the app. It stops when you check out or log out of the work session.

Why: to verify attendance, to confirm field visits to doctors, clinics and partners, to support territory and route reporting, and to meet our internal record-keeping obligations as your employer.

Legal basis: your employment relationship with us and our legitimate interest in workforce administration, together with the consent you give when granting the Android location permission.

Your control: you may deny or later revoke background location permission in Android Settings. Attendance and field-visit features will then not function, and you may be asked to record attendance by another method agreed with your manager.

Location data is not sold, is not shared with advertisers or data brokers, and is not used to track you outside an active work session.

5. How we use your information

  • To authenticate you and keep your account secure.
  • To record attendance, leave, tasks, visits, campaigns and performance data.
  • To generate and deliver HR documents such as salary slips.
  • To send operational notifications relevant to your work.
  • To maintain, troubleshoot and improve the app.
  • To comply with applicable law, and to establish or defend legal claims.

We do not use your information for automated decision-making that produces legal effects without human review.

6. How your information is shared

We do not sell your personal information. It is shared only as follows:

Within iHear

with your reporting manager, HR and administrative staff, through the iHear management portal, on a need-to-know basis.

Service providers

hosting and cloud storage providers who process data on our instructions under contract, including Amazon Web Services (AWS) for application hosting and document storage, and Google Firebase Cloud Messaging for push notification delivery.

Legal and regulatory

where required by law, court order, or a lawful request from a government authority, or to protect our rights, safety, or property.

Business transfer

in connection with a merger, acquisition or reorganisation, subject to this policy continuing to apply.

7. Data storage, transfer and security

Data is transmitted over encrypted HTTPS connections and stored on servers operated for us at AWS Mumbai (ap-south-1). Documents such as salary slips are stored in access-controlled cloud object storage. Access is restricted to authorised personnel, and authentication tokens are held in the app's private, sandboxed storage on your device.

No method of transmission or storage is completely secure. While we take reasonable technical and organisational measures to protect your information, we cannot guarantee absolute security.

8. Data retention

We retain personal information for as long as your account is active and thereafter for the period required by applicable employment, tax and record-keeping law, or by our internal retention schedule — typically 7 years after your employment ends. Location records are retained for 12 months unless a longer period is required for an ongoing dispute or investigation. Data no longer required is deleted or irreversibly anonymised.

9. Your rights

Subject to applicable law, including the Digital Personal Data Protection Act, 2023 (India), you may:

  • request access to the personal data we hold about you;
  • request correction of inaccurate or incomplete data;
  • request erasure of data we are no longer required to retain;
  • withdraw a consent you previously gave, such as location permission;
  • nominate another individual to exercise these rights in the event of your death or incapacity; and
  • raise a grievance with us, and thereafter with the Data Protection Board of India.

To exercise any of these, contact us using Section 12. We will respond within the period prescribed by applicable law. Some rights are limited where we must retain records to meet a legal or employment obligation.

10. Account and data deletion

Accounts are issued and withdrawn by your employer. To request deletion of your account and associated personal data, email contact@ihear.in from your registered work email address with the subject line "App data deletion request", stating your name and employee ID.

On receiving a valid request we will delete or anonymise your profile data, location history and app-generated content, except records we are legally required to retain (for example statutory payroll and tax records). We will confirm completion in writing within 30 days.

Uninstalling the app removes locally stored data from your device but does not by itself delete data already held on our servers.

11. Children's privacy

The app is intended solely for employed adults aged 18 and above. We do not knowingly collect personal information from children. If you believe a minor has used the app, contact us and we will delete the data.

12. Contact and grievance officer

For any question, request or complaint about this policy or your personal data:

Grievance Officer: Sekhar Das

Email: contact@ihear.in

Postal address: 4, Chatterjee Street, P.O. Uttarpara, District Hooghly, PIN 712258, West Bengal, India

Phone: 033 7130 7130

13. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top will change, and material changes will be communicated in the app or by email. Continued use of the app after an update means you accept the revised policy.
